How do I search for a document?
To search for one or more of your documents, use the search box at the top after you have clicked on the Documents icon in the menu on the left. See below:

In the search field, type the word, number, or name you want to search for and click Search (or press Enter).
Tip: For the search to work, you need to type at least 3 letters or 3 digits. Shorter search terms typically yield no results.
Which fields are searched?
When you search, doCuro automatically looks in the following parts of the document:
- 📄 The filename the document had when it was uploaded
- 🧾 All text that has been interpreted from the document (OCR content)
- ✏️ Any notes
- 🗂️ All dynamic fields
- 📊 Barcodes and numbers (e.g., document number, serial number)
When we mention that something "exists in the document" in the text below, we mean that it exists in any of these parts.
Search in all archives or just in one?
Next to the search button, you can choose whether you want to search in all archives or just in a specific archive. If you want to narrow your search, select that archive from the list before you search.
How does the search work?
🔍 Regular text search
You can search for whole words or the beginning of words. The search matches always from the beginning of the word:
- ✅ söder → matches Södergatan, Södersjukhuset, södervägen
- ✅ söderg → matches Södergatan
- ❌ borg → yields no result for Helsingborg or Göteborg
- ❌ gatan → yields no result for Södergatan
Note! The search does not find words where your search term only appears in the middle or at the end of the word.
🧠 Multi-word search
If you want to search for a longer phrase consisting of several words, for example “doCuro Systems,” the entire phrase must appear in the same order and directly next to each other somewhere in the document. It is not enough for the words to be spread out or for there to be other words in between – for instance, “doCuro digital archive systems” yields no result.
- ✅ doCuro Systems → matches
- ❌ doCuro digital archive systems → no match
➕ ➖ Advanced search operators
You can use + and - directly in the search field to control what must or must not appear in the results:
- ✅ avtal -uppsägning → Documents that must contain “avtal” but must not contain “uppsägning”
- ✅ +1220 +faktura → Documents that contain both “1220” and “faktura”
This is a simple way to specify the search without using advanced filters.
🔢 Searching for numbers and barcodes
You can search for numbers and the beginning of numbers as well as the beginning of barcodes. It works even when the number appears in the filename or in the text.
- ✅ 2023 → matches e.g. Faktura_20231201.pdf (match for the beginning of the number)
- ✅ INV → matches e.g. INV-2024-00123 (match for the beginning of word/segment)
- ✅ ABC123 → matches barcode ABC123456789 (match for the beginning of the code)
- ❌ 2345 → does not match 123456 (you must start from the beginning of the number)
- Shorter numbers (e.g., 180, 220) now only match exact occurrences — no longer all longer numbers that start similarly - this is to reduce the number of irrelevant hits.
- Longer numbers (e.g., 1068, 959622100) also match the beginning of longer numbers or barcodes.
Note! Searching in the middle or at the end of a number/code is not supported (e.g., 234 does not match 1234).
Advanced search
If you want to refine your search even further, you can click on “Advanced search” under the search box. Here you can add more filters – or use the filters without typing anything in the search box at all.
Examples of filters:
- 📅 Date range: Show documents that were uploaded between two dates.
- 🔢 Document number: Search for an exact document number (other filters are ignored then).
- 📁 Dynamic fields: Filter on e.g. Department, Responsible, or Active (must match exact value).
- 🔔 Reminders: Show only documents that have at least one reminder.
- 📆 Validity date: Filter documents based on start or end date of validity.
Examples:
✅ The field Responsible = Dwight Schrute → must be exactly this name.
❌ Dwight is not enough to find Dwight Schrute.

✅ Summary:
The search in doCuro is flexible and powerful. You can find documents based on words, beginnings of words, exact phrases, numbers, parts of numbers, barcodes, and also numbers that fall within ranges. With the help of + and -, you can further specify the search, and with advanced filters, you can quickly narrow down the results by date, responsible person, validity, and much more.
Just remember that the search does not find words that only exist in the middle or at the end of a word – always start your search term from the beginning of the word.
